Main Responsibilities :

  • To provide administrative support to the AMET Zone Head and more broadly to the AMET Zone LT Team.
  • This role requires a high level of administrative skill and technical competence using business applications such as eBuy, Concur and eContracts.
  • Understanding of and working in accordance with internal SOP’s, especially related to the events with Internal employees / staff, along with the complete follow-up of all required documents is central to this role.
  • Strong oral and written communication skills, flexibility and the ability to manage multiple tasks of equal / varying priorities is essential. The ability to maintain a high level of confidentiality is critical.

Key Results / Accountabilities :

Responsibilities will include but not be limited to :

  • Managing events like Townhalls – sending the invite / organizing the translators where necessary and managing other Internal Events and Meetings.
  • Main point of contact with external Vendors to organize / raise PO’s for these vendors.
  • Organize and streamline schedule and diaries in order to ensure priority to urgent and important requests
  • Oversee and manage general administrative tasks such as business travel authorization, purchase approvals, authorization expenditures, contract approvals.
  • Raising PR’s using eBuy.
  • Following up with the payment requests with Finance.
  • Writing the meeting minutes of the meetings.
  • Archiving documents for events related to the Business Meetings.
  • Office management : Manages multiple, sometimes conflicting, priorities in a fast-paced and demanding environment.
  • Provide high level administrative support
  • Coordinate with local teams in the countries planning and logistics.
  • Maintains up to date mailing lists for the department
  • Takes initiative and independently manages special / administrative projects in dynamic fast paced environment other adhoc requirements.
  • Manage logistics of AMET events.
  • Assist in the on the logistics of LT relocating to the new HQ - Istanbul.
  • Maintain Compliance

  • Abide by the requirements of the internal Code of Ethics including but not restricted to maintaining high professional standards of conduct in line with the Company procedure with a duty of care to the reputation of the Company
  • Ethical Leadership

  • Takes personal accountability to use personal experience and knowledge, as well as the training and tools provided by Sanofi, to maintain a good knowledge and understanding of all ethics and governance relevant to the role (Sanofi Policies and Procedures and any relevant legal requirements) and demonstrate personal leadership in applying these to all work undertaken.
  • Escalates any decisions, or seek the support of colleagues or management if personal knowledge and understanding is not at the level required to carry out any part of the role

  • Thoroughly read all safety documentation issues by the Company and comply with its requirements. Escalate any doubts or uncertainties to their supervisor and / or manager.

  • About you :

    Essential Qualifications

    Education Level

    Preferably University Graduate – bachelor’s degree

    Experience

  • 5 years of experience in similar role / environment
  • Experience supporting commercial activities, ideally in an FMCG, Pharma or biotech environment or other regulated industry.
  • Skills

  • Fully conversant and proficient in Microsoft office / Power Point / Excel / Word
  • Advanced level of written and verbal English (Turkish and French a plus)
  • Excellent interpersonal, organization and communication skills appropriate to a multi-cultural and diverse working environment
  • Ability to work autonomously.
  • Strong problem-solving skills that allow to proactively anticipate requirements.
  • Enthusiastic with a positive outlook and willingness to support with honesty, consistency and reliability.
  • Ability to interact with a dispersed leadership team, other executive administrative assistants, and customers.
  • Flexibility with time, working across time zones
  • Ability to prioritize effectively with attention to detail
  • Proactively communicates timetables for completion of tasks
