The Opportunity : As an Executive Assistant at Astellas Pharma, you will play a pivotal role in supporting the Head of TMEA with daily administrative duties. Your contributions will be essential in managing an active calendar of appointments, coordinating complex travel plans, and ensuring seamless communication within the organization. This role offers a remote working solution so you can optimise the most productive work environment for you to succeed and deliver. Key Responsibilities :

  • Assist the Head of TMEA with daily administrative tasks, including managing calendars and preparing expense reports.
  • Coordinate logistics for high level meetings, both internally and externally, ensuring all materials and schedules are in place.
  • Consolidate reports and proposals from various internal functions, preparing oral and written communications as needed.
  • Provide on-site administrative support during executive meetings and events, ensuring smooth operations.
  • Maintain an organized filing system for electronic documents and manage confidential materials with discretion.

Essential Knowledge & Experience :

  • You will assist the Head of TMEA with daily administrative tasks, such as managing their calendar and preparing expense reports.
  • Logistical coordination for high-level meetings, both internally and externally, will be your responsibility, ensuring all materials and schedules are prepared.
  • You will consolidate reports and proposals from various internal functions and prepare oral and written communications as required.
  • Onsite administrative support during executive meetings and events will fall under your duties to ensure everything runs smoothly.
  • You will be responsible for maintaining an organized filing system for electronic documents and handling confidential materials with discretion.
  • Preferred Experience :

  • Experience in managing senior leaders’ calendars and travel arrangements.
  • Familiarity with compliance and regulatory requirements in the healthcare sector.
  • Education :

  • Bachelor’s degree, or equivalent.
  • Additional Information :

  • This is a permanent, full-time position.
  • Position is based in Istanbul, Turkey.
  • This position follows our hybrid working model. Role requires a blend of home and a minimum of 1 day per quarter in our Istanbul office. Flexibility may be required in line with business need. Candidates must be located within a commutable distance of the office.
