We are seeking a motivated and detail-oriented Project Admin to join our Delivery Operations team.
Key Responsibilities :
As a Project Admin , you will support Project Managers and Supervisors by ensuring accurate project planning, documentation, and financial control throughout the project lifecycle.
- Collect and organize project information to support decision-making for Project Managers and Supervisors
- Monitor project schedules (e.g., expiring S-Plan milestones) and notify relevant stakeholders when updates are needed
- Support customer correspondence, obtain approvals and signatures, and ensure proper documentation and archiving
- Monitor invoicing status vs. billing plans, verify collections, and report deviations for corrective actions
- Maintain and update project revenue and cost forecasts monthly, following company guidelines
- Create Purchase Requisitions upon Supervisor or Project Manager request, ensuring all required details are included
- Ensure accurate labor planning and subcontracting before installation activities begin
- Participate in Pre-Delivery Reviews and ensure correct cost planning for accurate revenue recognition (Percentage of Completion)
- Manage documentation for fitters and subcontractors in coordination with the Installation Resource Manager
- Coordinate project logistics needs with the logistics team
- Ensure correct use of activities and cost elements in booking actual project costs
- Handle change orders / variation sales, ensuring timely system registration and proper communication with stakeholders
- Support claim handling processes, maintain customer correspondence and documentation related to project scope changes
- Monitor project milestones and maintain the project schedule in the system as instructed by the Project Manager
- Compile end-of-project documentation sets for submission to customers, maintenance teams, and for archiving
- Coordinate with the project team to ensure correct planning of remaining project costs before closing
